Need sound for your event?
Whether you're hosting a meeting, keynote, ceremony, or outdoor event, we offer audio solutions ranging from a single microphone to full PA systems. Many of our Event Services venues include built-in AV, so we recommend reviewing your space's capabilities or working with an Event Coordinator. For events across campus, our team can also deliver, set up, and support audio equipment.
Audio Equipment Rental FAQs
Events held in our major event venues, such as Berger Hall and the Gallogly Event Center, require an AV technician when audiovisual equipment is used. Your technician will set up and test the equipment, monitor it throughout the event, and serve as your primary point of contact for any technical needs that arise.
Some equipment rentals outside of these venues may also require a technician, depending on the complexity of the setup. Even when not required, technicians are available to provide additional support and peace of mind during your event.
For meetings held in our standard meeting rooms, an AV technician is typically not required. A Building Manager will be available during your event to assist with basic room or technology issues as needed.
Technician labor is billed hourly. Contact Event Services to determine the level of support recommended for your event and request a quote.
If you're hosting your event in an Event Services-managed venue, your Event Coordinator will work with you to identify the audiovisual equipment and technical support needed based on your event's size, format, and goals.
If your event is taking place outside of an Event Services-managed venue, equipment rentals can be requested through the Event Services reservation process. We recommend submitting your request as early as possible to ensure the best equipment selection and availability, particularly during peak event seasons.
If your event is being held in one of our major or multi-purpose event spaces, or you request audiovisual services beyond the standard equipment available in a meeting room, Event Services will schedule an AV Production Meeting with you.
During this meeting, you'll work one-on-one with an Event Services professional to review your event agenda, presentation requirements, room layout, lighting, audio, video, livestreaming needs, and any other technical or production details. This collaborative planning process ensures everyone is aligned and that your event is fully prepared before event day.
Even if your event doesn't require an AV Production Meeting, you're always welcome to request one. Our team is happy to meet with you to discuss your ideas, answer questions, and help determine the best audiovisual and technical solutions for a successful event.
Yes. Equipment can be rented for use across campus, subject to availability. Delivery, setup, and labor charges may apply for equipment used outside Event Services-managed spaces.
Yes. Event Services can deliver, install, test, and remove equipment as part of your event support. Some rentals include standard delivery, while larger or more complex setups may require additional labor.
Many events can be self-operated after setup, while larger productions or advanced sound systems require an Event Services technician. Our team will determine the appropriate level of support based on your event requirements.
Yes. Our equipment is compatible with most laptops and presentation devices. If you're unsure about compatibility, contact Event Services before your event so we can verify connections and determine whether any adapters are needed.
If you don't have a laptop available, Event Services also offers laptops for rent. Let us know your needs during the planning process, and we'll help you select the right equipment for your event.
Yes, all of our Event Services-managed venues/ meeting rooms have audiovisual capabilities. Capability varies based on rooms and equipment requests must be made on your reservation.
No. Event Services does not provide audiovisual or technical support for standard classroom spaces. The technology installed in classrooms is managed by the Office of Information Technology (OIT) Services or the department assigned to that space.

If your classroom event requires additional audiovisual equipment beyond what is installed in the room, Event Services may be able to provide rental equipment, subject to availability. Contact Event Services to discuss your needs and request a quote.
Finalized reservations are due 10 business days before your event in order to ensure proper setup and staffing. However, it is possible to add audiovisual equipment later if the equipment is available. Late charges may apply.
