Frequently Asked Questions

The right solution depends on how you want your audience to participate. 

  • Virtual Event: All presenters and attendees participate online using a platform such as Microsoft Teams or Zoom.  

  • Hybrid Event: A combination of in-person and remote participation. Attendees can join from the event venue or online, with opportunities for both audiences to engage.  

  • Livestream: An in-person event is broadcast live to remote viewers. Livestreams are primarily designed for viewing, with limited or no interaction from the remote audience.  

If you're unsure which option is best, Event Services can help you determine the right solution based on your event goals and audience. 

Both Microsoft Teams and Zoom are excellent platforms, but the best choice depends on your event. 

Microsoft Teams is ideal for: 

  • Internal UCCS meetings  

  • Department trainings  

  • Committee meetings  

  • Collaboration among campus employees  

Zoom is often better suited for: 

  • Large webinars  

  • Public-facing events  

  • External attendees  

  • Events requiring breakout rooms or webinar features  

Event Services can recommend the platform that best supports your event's size, audience, and interactive needs. 

Yes. Depending on the platform and event format, remote attendees can participate through chat, audio, video, moderated Q&A, or other interactive features. 

During the planning process, Event Services will discuss how you want attendees to engage and recommend the best approach for managing audience participation. 

Yes. Event Services can record virtual, hybrid, and many in-person events for later viewing. 

Recordings are a great option for attendees who are unable to attend live or for sharing presentations, trainings, and educational content after the event. 

If you plan to record your event, let your Event Coordinator know during the planning process so the appropriate equipment and support can be arranged. 

Not every virtual event requires an AV technician. Simple online meetings may be managed by the event organizer using standard meeting technology. 

For hybrid events, livestreams, large meetings, or events with multiple presenters, Event Services may recommend an AV technician to manage audio, video, presentation content, and virtual attendee interactions. 

If technician support is recommended, your Event Coordinator will discuss the level of support needed and provide a quote. 

In many cases, yes. Event Services can provide livestreaming and recording support for events held in other campus locations, depending on the venue, available network connectivity, power, and equipment requirements. 

Contact Event Services early in the planning process so we can evaluate the location and determine the best production solution for your event. 

We recommend contacting Event Services as early as possible, especially for hybrid events, livestreams, or events requiring specialized equipment or production support. 

Early planning gives our team time to coordinate technology, staffing, testing, and any required production meetings to ensure a successful event. 

Getting started is easy. Contact Event Services or submit an Event Support request with information about your event, including the date, location, estimated attendance, and any virtual or audiovisual needs. 

An Event Coordinator will review your request, discuss your event goals, recommend the appropriate services and technology, and provide a customized quote based on your event requirements.
